5 THINGS TO SORT OUT BEFORE YOUR CEILING CONTRACTOR ARRIVES

A well-prepared site is the difference between a smooth installation and a costly, delayed one. Here's what experienced project managers have ready before day one.
HAVE STRUCTURAL AND SERVICES DRAWINGS AVAILABLE
Your ceiling contractor needs to know what's above the slab. Structural drawings show beam positions and slab penetrations — critical for placing hanger points. MEP (mechanical, electrical, plumbing) drawings show duct runs, sprinkler lines, and conduit paths. Without these, installation slows down or hanger positions get compromised. If drawings aren't available, a site survey should be completed first.
CONFIRM FINISHED FLOOR-TO-CEILING HEIGHT
The finished floor level (FFL) and finished ceiling height (FCH) must be agreed and marked on drawings before installation. Conflicts between the structural soffit, duct runs, and desired ceiling height are the most common cause of delays on site. Ensure the architect or project manager has signed off on the reflected ceiling plan (RCP) before your contractor mobilises.
COORDINATE WITH YOUR ELECTRICAL CONTRACTOR
Ceiling and electrical work are tightly interdependent. Downlight positions, emergency exit signage, data points, and HVAC diffusers all need to be coordinated on the RCP. Ideally, your electrician should rough-in conduit and homerun cables before boarding begins. Nothing wastes time like cutting freshly taped gypsum to pull a cable.
ENSURE SITE ACCESS AND STORAGE SPACE
Ceiling boards and grid components are large and fragile. There must be a designated, dry, level storage area on site — ideally within 20 metres of the work area. Confirm lift access if working on upper floors. Some T-bar grid profiles are 3.6 metres long — they won't fit in a standard goods lift without pre-planning.
CLARIFY SCOPE AND INTERFACES IN WRITING
Before work starts, get written confirmation on who is responsible for: - Patching penetrations made by other trades after ceiling installation - Supplying and installing access hatches - Final touch-up painting after electrical and HVAC installations - Any acoustic sealing at partition heads Unresolved scope interfaces are the primary cause of cost disputes on fit-out projects. A clear scope matrix prevents them.
